How to Create a Signature in Outlook

Creating an email signature in Outlook is easy. The software lets you create custom signatures that can automatically or manually be added to your email messages.

  1. Open Outlook and click on File. Then, select Options.

  3. Under E-mail Signature, click on New, and in the New Signature box, type in a name for the signature. This name helps identify the signature in the future.


  4. Under Edit Signature, type and format your signature. You can add your name, title, organization, email address, contact number, company website, and logo.
  5. To create a more stylish signature, you can use one of these email signature generators to format it. Then, copy/paste it into the Edit signature. You can also use a signature template from Microsoft.


  6. Under the Choose default signature section, set these options for your signature: In the E-mail account, choose the email account that should get the signature.
  7. In the New Messages, select the email signature you want automatically added every time you compose a new message. In the Replies/forwards, select the signature you want to show up in the messages you reply to or forward.


  8. Click OK to save the signature. To confirm if it works as expected, open a new message; your new signature should already be there. If you want to add it manually, go to Insert > Signature and select the signature you’d like to use.

We performed these steps using the desktop version of Outlook 2019. So, the process might be a little different for other versions of Outlook.
